What HuddleWay Is

HuddleWay provides tools for sports programs and similar organizations to manage schedules, registration, payments, messaging, documents, branding, and family-facing updates. HuddleWay Hub is the family and participant-facing app. HuddleWay Admin is the operator-facing app.

Information We May Collect

• Account information such as email address, account id, role, and tenant membership.
• Participant and family information such as names, phone numbers, addresses, ages, grades, emergency contacts, and form responses.
• Registration and payment records such as event selection, payment status, checkout metadata, and refund context.
• User content such as messages, uploads, documents, logos, photos, event images, and other files shared through the service.
• Device and app information such as push tokens, device platform, and app version.
• Diagnostics and service logs such as crash diagnostics, security logs, rate-limit records, request ids, and server log data that can include IP-address level information.
• Setup and link context such as QR join, invite, registration, and route handoff parameters.
• Optional AI-import source text and extracted setup fields when an operator chooses to use onboarding AI import.

How We Use Information

• To create and secure accounts.
• To provide registration, scheduling, messaging, documents, and program-management workflows.
• To process eligible payments for real-world or off-app services.
• To send product messages, emails, and push notifications.
• To troubleshoot issues, protect the service, and investigate abuse or fraud.
• To support optional AI-assisted onboarding import when an operator requests it.

Tracking, Ads, And Sale Of Data

• HuddleWay does not sell personal data.
• HuddleWay does not show ads in the iOS apps.
• HuddleWay does not use cross-app or cross-site tracking for this release.
• HuddleWay does not use App Tracking Transparency for this release.

Who We Share Information With

We may share information with service providers needed to operate HuddleWay, including:

• Firebase and Google Cloud for authentication, database, storage, messaging, and related infrastructure.
• Stripe for eligible payment processing.
• Email-delivery providers used for communications and account workflows.
• OpenAI or Google AI only when an operator explicitly uses onboarding AI import.
• Authorities or professional advisers when needed to enforce rights, respond to abuse, or comply with law.

Payments

If a tenant enables payments, HuddleWay stores payment and checkout state needed for the workflow. Payment card handling is performed by Stripe rather than stored directly in the app code. In iOS App Store contexts, Stripe is intended only for real-world or off-app services.

Messages, Uploads, And Content

Operators and users may publish messages, upload documents, share photos, submit registrations, and exchange other content through the service. Operators are responsible for making sure they have the right to upload or distribute the content they publish.

Diagnostics And Notifications

HuddleWay may store device tokens to send notifications if notifications are enabled. HuddleWay may also process crash and diagnostic information if crash reporting is enabled for a release.

Retention

HuddleWay keeps data for as long as needed to operate the service, complete requested workflows, investigate abuse, satisfy accounting or legal obligations, and support tenant operations. Some links and temporary access records expire automatically. Other records may remain until deleted by the tenant, processed through an approved deletion workflow, or retained for safety, dispute, or legal reasons.

Account Deletion

Consumers may request account deletion from the Hub account screen. Deletion requests may require manual fulfillment. Some records may be retained where required for security, fraud prevention, payment, dispute, or legal reasons.

Children And Youth Data

HuddleWay is not presented as a Kids Category app. Some tenants may use it to manage youth participants, which can include participant and guardian data entered for program operations.
